Hubstaff
Hubstaff records billable hours across tasks, projects, and clients via desktop, web, or mobile apps, then automatically converts tracked time into timesheets, invoices, and global payments via Wise or PayPal. Beyond time logging, it monitors activity levels, app and URL usage, and idle time to surface where work hours are actually spent, and detects unusual activity patterns without requiring manual review. The platform integrates natively with 35+ tools including Jira, Asana, QuickBooks, Slack, and Gusto, and exports AI-ready data for custom analytics via Claude, ChatGPT, or Gemini. Agencies use Hubstaff to enforce project budgets, plan team capacity across concurrent engagements, and correlate labor costs with billable output.
Hubstaff is a resource planning platform, priced at $4.99/seat/month on the Starter plan, integrating with Jira, Slack, Wise, and Deel. InnovaAI scores it 7.1/10 for agency resale.

Platform Features
Core capabilities of Hubstaff
Automatic timesheet generation from tracked time
Hubstaff converts logged hours into formatted timesheets without manual data entry, reducing payroll processing time. Agencies can approve timesheets before invoicing or payment, ensuring accuracy across multiple clients and projects.
Project cost tracking and budget alerts
Track cumulative labor costs per project based on hourly rates and actual tracked time. Set project budgets and receive alerts when teams approach or exceed thresholds, preventing scope creep and margin erosion on fixed-price engagements.
Activity monitoring with app and URL tracking
View which applications and websites team members use during tracked time, with optional screenshot capture (up to 10 every 10 minutes on the More Screenshots add-on). Helps agencies identify unproductive tools and understand where billable hours are actually spent.
Capacity planning and resource allocation
Visualize team workload across projects and clients to prevent bottlenecks and overallocation. Agencies can forecast availability and balance demand across multiple concurrent engagements.
Unusual activity detection and alerts
Hubstaff flags unexpected patterns in tracked work data, such as sudden idle spikes or after-hours activity, helping agencies identify time-tracking anomalies or potential security issues without manual review.
AI-ready data exports and workforce intelligence
Query and analyze tracked work data via API or native integrations with Claude, ChatGPT, and Gemini. Agencies can build custom dashboards, anomaly detection, or predictive staffing models on top of Hubstaff data without exporting to a separate analytics tool.

Bottom Line
Hubstaff combines time tracking, activity monitoring, and workforce analytics in a single platform, with integrations across 35+ tools including Jira, Slack, QuickBooks, and Gucci. Agencies can track billable hours by project and client, automate timesheet generation, and detect unusual activity patterns in tracked work. The platform supports capacity planning to prevent resource bottlenecks and offers AI-ready data exports for custom insights via Claude, ChatGPT, or Gemini. Best suited for marketing agencies, software development shops, and remote-first teams that need to correlate time data with project costs and team productivity without piecing together separate tools.
Reality Check
Hubstaff's activity monitoring (app/URL tracking, screenshots, idle detection) requires employee acceptance and may create friction in agencies with strong privacy cultures. The platform does not publish a white-label program, so client-facing reports and dashboards display the Hubstaff brand, limiting resale as a fully branded service.

Core concepts
The mental model you need to price and scope the work.
- Capacity Debt CompoundingConcept
Capacity Debt Compounding treats every hour of unplanned bench time as a liability that accrues against future delivery, not as recovered margin. When an agency fills a quiet week by promising faster turnarounds, it borrows against next month's calendar; the debt surfaces later as double-booked specialists, slipped milestones, and rushed client work. The framework asks a single question at each scheduling decision: does this commitment consume slack that a known future project already needs? Float and Runn both expose the forward view that makes the debt visible, while Everhour ties booked hours back to budget so a manager can see which client retainer absorbs the cost of the shortfall. The discipline matters because utilization targets reward filling today and punish protecting tomorrow. A practical guardrail: hold 10 to 15 percent of each specialist's month unbooked, and treat any dip below that floor as a signal to renegotiate scope rather than add commitments.
- The Allocation Latency TaxConcept
The Allocation Latency Tax is the hidden cost of the gap between when a project need appears and when a qualified person is actually booked onto it. Every day that gap stays open, the agency carries a person who is technically available but not producing billable work, and the loss compounds across the roster. A 12-person delivery team with a two-day average booking lag at a $150 blended rate bleeds roughly $3,600 per open slot before a single hour is logged. The tax is not a scheduling failure so much as a visibility failure: managers cannot allocate against capacity they cannot see. Tools like Float and Resource Guru shorten the gap by putting availability and demand on one screen, while Runn pushes further by forecasting demand weeks ahead so bookings happen before the need turns urgent. Agencies that treat booking speed as a margin lever, not an admin chore, protect utilization without adding headcount.
- Bench Depth RatioConcept
Bench Depth Ratio measures how many people can absorb a given skill's work before a single absence or departure stalls delivery. An agency with one senior strategist covering four retainers has a ratio near zero: one resignation, one two-week sick leave, or one client crisis pulls every retainer off schedule. The framework asks a blunt question per skill cluster: if the primary owner disappeared tomorrow, how many others could pick up the work at 80% quality within a week? Ratios below 1.5 concentrate risk and quietly cap how much new business the agency can accept. Ratios above 3 usually mean underutilized senior talent and margin leakage. The practical move is to map bench depth against booked demand before signing the next retainer, not after. Tools like Runn and Resource Guru surface availability, but neither tells you whether the available person can actually do the work. That judgment stays human.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- Resource Planning Rule: Schedule Capacity Before You Schedule PeopleEvaluation Rule
Map real capacity and billable demand on one shared view before you buy scheduling software, because a tool that automates a wrong forecast only distributes the error faster.
- Resource Planning Rule: Bill Utilization Only Against Work a Client Will Pay ForEvaluation Rule
Separate billable, non-billable, and speculative hours in the schedule before you use utilization as a staffing signal.
- Resource Planning Decision: Capacity Visibility Layer vs Full Delivery RebuildDecision Framework
IF your agency already runs project work inside a delivery system (Jira, Asana, Linear) and the pain is knowing who is free next Thursday, THEN add a capacity visibility layer on top of the existing stack rather than migrating delivery. IF the pain is that estimates, budgets, and actuals live in three unconnected places and account managers rebuild the truth in spreadsheets each Monday, THEN the rebuild path is the honest one, because a scheduling overlay will only visualize numbers nobody trusts.

What agencies say about Hubstaff
“They steal your money”
They steal your money! after making a wrong payment they refuse to pay back
Read on Trustpilot“Hubstaff uses deceptive billing…”
Hubstaff uses deceptive billing practices designed to intentionally overcharge customers through a needlessly complex pricing structure and dark UI patterns. After renewing my Growth plan to Team plans under the presumption that it gives me Insights as part of the plan and paying for screenshot add-ons, I was hit two days later with an unexpected $108 charge for an upgrade that failed to credit my prior payment while simultaneously charging me extra for add-ons like Insights that were supposedly included. When I confronted live support on July 20, the agent explicitly agreed to downgrade my account back to Growth, configure the add-ons separately, and refund all overcharges, promising a email follow-up once completed. Instead, zero refunds were ever issued, no follow-up was provided, and I was effectively billed for two months of a Team plan I never even used for a full week; as a direct result of this broken support promise and predatory charging, we are canceling our subscription immediately and migrating our entire team to a different software.
Read on Trustpilot“Your reviews consistently mention poor…”
Your reviews consistently mention poor customer service. I authorised only the amount displayed at checkout, not a higher amount based on hidden settings or a previous subscription. It appears that you mixed my previous subscription with the new purchase and charged me more than the amount I authorised. This is an internal billing issue and is not my responsibility.

Answers about pricing, setup, alternatives, and more
Hubstaff is a time tracking and workforce analytics platform that records billable hours across tasks, projects, and clients on desktop, web, or mobile. It automatically generates timesheets, monitors productivity via activity tracking and app/URL usage, calculates project costs, and turns tracked time into invoices and global payments. The platform also detects unusual activity patterns and exports AI-ready data for custom insights via Claude, ChatGPT, or Gemini.
Hubstaff offers 4 pricing tiers, starting at $4.99/mo per seat billed annually (Starter) up to $10/mo per seat billed annually (Team). Agencies typically achieve 71% profit margins when reselling to clients.
No verified white-label program exists. Client-facing surfaces, including reports and dashboards, display the Hubstaff brand. If you need to resell time tracking under your own brand, Hubstaff is not a fit for a fully white-labeled resale model.
Yes. Hubstaff integrates natively with both Jira and Slack. Jira integration allows time tracking directly from tickets, and Slack integration enables time logging and status updates via Slack commands. Both are included in the Team plan (unlimited integrations); the Grow plan includes one integration of your choice.
Setup time depends on team size and integration complexity. Installing the Hubstaff desktop or mobile app takes under 5 minutes per user. Configuring projects, clients, and integrations (e.g., Jira, QuickBooks) typically takes 15-30 minutes per client account once your parent agency account is configured. Onboarding can be accelerated by using Hubstaff's API or SCIM provisioning (available on Enterprise) to bulk-import users and projects.
Hubstaff is designed for marketing agencies, software development agencies, consulting firms, remote-first agencies, and BPO/virtual assistant services. Any client that bills by the hour, manages distributed teams, or needs to correlate labor costs with project profitability is a strong fit.
HIPAA compliance is available only on the Enterprise plan, which requires a custom quote and sales consultation. The Team plan includes SOC-2 Type II compliance but not HIPAA. If a client requires HIPAA, you must upgrade to Enterprise.
Yes. Hubstaff's Advanced Insights feature (included in the Team plan) allows you to analyze productivity benchmarks and compare performance across remote, hybrid, and office teams. This is useful for agencies managing mixed-location teams or clients evaluating return-to-office policies.
