Filestage
Filestage is an online proofing and approval platform that consolidates creative file reviews, version control, and compliance checks in a single workspace. Teams annotate files with contextual comments and markup, organize reviewers into approval groups, and automate error detection against brand guidelines or regulatory standards via Review Agents. The platform integrates natively with Microsoft Teams and Slack to embed review notifications into existing collaboration tools, and supports Zapier for broader app connectivity. It serves marketing agencies, creative agencies, and regulated verticals (consumer goods, pharma) where approval speed and audit trails are critical. Agencies can use Filestage to manage client approval workflows, though white-label branding is not available.
Filestage is an online proofing and approval platform, priced at $199/month on the Starter plan, integrating with Microsoft Teams, Slack, and Zapier. InnovaAI scores it 7.2/10 for agency resale.
Agency Audit
Filestage centralizes creative file reviews and approvals with contextual annotation, version tracking, and automated compliance checks via Review Agents. It integrates with Microsoft Teams, Slack, and Zapier to embed feedback workflows into existing collaboration stacks. The platform targets marketing and creative agencies serving consumer goods, pharma, and regulated industries where approval speed and audit trails matter. For agencies reselling approval workflows to clients, Filestage offers a 30% approval speedup claim and multi-reviewer group management, making it viable for retainer-based client services. However, white-label positioning and multi-tenant client reporting capabilities are not clearly documented, limiting its appeal as a pure white-label resale product.

Platform Features
Core capabilities of Filestage
Contextual annotation and markup
Reviewers add comments, highlights, and drawings directly on files (artwork, packaging, PDFs, video frames) to make feedback location-specific and unambiguous. Agencies can embed this in client workflows to reduce approval cycles by clarifying exactly what needs revision.
Review Agents (automated compliance)
Scans creative assets against brand guidelines and industry regulations (FDA, EFSA, FSA) to flag errors before human review. Available on Business plan and above; reduces manual compliance checks for agencies serving regulated clients.
Version tracking and comparison
Maintains full version history and side-by-side comparison of file iterations. Agencies can show clients exactly what changed between rounds and revert to prior versions if needed.
Approval workflow automation
Triggers custom actions (send notifications, update project status, move files) based on approval stage or reviewer feedback. Reduces manual task handoffs between agency team members and clients.
Multi-reviewer group management
Organize reviewers into groups (e.g., legal, creative, brand) and route files to specific groups based on asset type. Agencies can replicate client approval hierarchies without manual reassignment.
Integrations with Teams, Slack, and Zapier
Sends review reminders and notifications to Microsoft Teams, Slack, or any Zapier-connected app. Keeps approval workflows visible in tools teams already use daily.

Reality Check
Filestage does not publish a verified white-label program, so client-facing portals will display Filestage branding rather than agency branding. Review Agents (the automated compliance feature) are only included on the Business plan and above at $329/month, requiring agencies to absorb that cost or pass it to clients as a separate line item.

The commercial case before the tooling.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- Approvals & Asset Workflows Rule: Match the Tool to the Asset's Legal WeightEvaluation Rule
Separate e-signature needs from creative proofing needs, then pick a tool that covers the higher-stakes requirement first.
- Approvals & Asset Workflows Rule: Route Before You AutomateEvaluation Rule
Define and document your approval routing before adding any new tool, then choose the platform that matches that routing.
- Consolidated Approval Platform vs Point-Solution StackDecision Framework
IF your agency handles high-volume creative review across multiple client accounts and asset types, THEN consolidate on a single approval platform to cut time-to-approval by 30-50% and avoid feedback fragmentation. IF your needs are niche or compliance-heavy, THEN a stack of specialized point solutions may serve better, but only if you can manage integration overhead.
- The Approval Black Hole: Why Asset Workflows Stall in Agency DeliveryFailure Pattern
- The Version Chaos Trap: Why Asset Approvals Collapse in Agency DeliveryFailure Pattern
- Ziflow vs Filestage vs Wipster (Agency Review Cycle Reality)Tool Comparison
The right proofing platform depends on your agency's dominant asset mix and client review structure. Video-heavy teams gain more from time-coded feedback, while multi-format shops need broader asset support and automated routing. Prioritize the dimension that directly cuts your time-to-approval, not the one with the most features.

What agencies say about Filestage
“How to make an approval fun”
Thanks to Filestage, we have a simple, speedy and transparent review process from start to finish. That's great for the customers and for our team at the agency. Because it leaves us more time for what we really enjoy doing.
Read on Trustpilot“The product is good, but trust is just as important as features.”
We were Filestage customers for several years and were generally happy with the platform. Unfortunately, the company unilaterally migrated our account from our existing plan to a new plan costing 76% more, without our explicit consent. We did not authorize this change. Had we been asked to actively accept the new pricing, we would have declined and migrated to another platform before renewal. We requested a refund immediately after discovering the charge. Despite explaining that we had never agreed to the new subscription and despite the request being escalated to senior management, the refund was denied. What makes this especially disappointing is that we quickly found an alternative platform with comparable (and in some areas better) features for less money. So this wasn't simply about the price, it was about how a long-term customer was treated. The support representative was professional and respectful throughout the conversation, but the company's policy was not. Trust is fundamental in any SaaS relationship, and this experience completely broke that trust. I cannot recommend doing business with a company that believes it is acceptable to move customers to a significantly more expensive plan without their explicit approval and then refuse to make it right. After years as a customer, this was an extremely disappointing way to end the relationship.
Read on Trustpilot“Extremely disappointed with Filestage”
Extremely disappointed with Filestage. They blocked my account and denied access to all my professional work without any prior warning or opportunity for backup. This is a clear violation of user rights and GDPR (Right of Access). I have been trying to resolve this for over 22 hours, but their support team is intentionally ignoring my urgent requests. I have already filed a formal complaint with the German Federal Data Protection Authority (BfDI). Beware: your intellectual property is not safe here. They can seize your data anytime and will ignore your legal notices. I demand immediate temporary access to retrieve my files. UPDATE (Day 9): Still no response. Total lack of ethics. It has been several days, and Filestage continues to remain silent despite the formal escalation to the BfDI and LfDI. Most shockingly, after I posted a public complaint on LinkedIn, they reported my account and got it suspended to silence me. This is a clear attempt to suppress a customer's legitimate GDPR erasure request. They are more interested in hiding their mistakes than protecting user data. I will not stop until my personal videos are recovered and this case is fully investigated by the German authorities. DO NOT TRUST THIS COMPANY.

Answers about pricing, setup, implementation
Filestage is an online proofing platform that centralizes file reviews, approvals, and version control in one workspace. Teams annotate files with comments and markup, track approval status, and automate error detection against brand guidelines or compliance rules via Review Agents. It integrates with Microsoft Teams, Slack, and Zapier to embed notifications into existing collaboration tools.
Filestage offers 4 pricing tiers, starting at $199/mo (Starter) up to $329/mo (Business). Agencies typically achieve 64% profit margins when reselling to clients.
No verified white-label program is documented. Client-facing surfaces display the Filestage brand, so you cannot present a fully branded portal to end clients. This limits Filestage's appeal as a pure white-label resale product for agencies seeking to rebrand approval workflows under their own name.
Yes. Filestage has native integrations with both Microsoft Teams and Slack, sending review reminders and approval notifications directly to team channels. It also supports Zapier, allowing connection to hundreds of other apps if Teams or Slack are not your primary collaboration tools.
Setup time depends on project complexity and reviewer group structure. Initial workspace configuration typically takes 15-30 minutes; adding client-specific reviewer groups and approval workflows may add another 15-30 minutes per client. Filestage does not publish a standardized onboarding timeline.
Filestage is designed for marketing agencies, creative agencies, consumer goods companies (packaging and label compliance), and pharmaceutical companies (promotional material approval). Any client in a regulated industry where approval workflows must document compliance with FDA, EFSA, or FSA standards is a strong fit.
Filestage does not publish a multi-tenant client reporting dashboard. Agencies can manage multiple projects and reviewer groups within a single workspace, but dedicated client-level reporting or white-label dashboards are not documented.
Filestage does not publish a data export or retention policy in the provided content. Before signing clients onto a retainer, confirm with Filestage support whether you can export project history, version files, and approval records upon cancellation.
