Service Fusion
Service Fusion is a field service management platform that centralizes job scheduling, technician dispatch, customer records, and invoicing for teams managing field workers. Dispatchers assign jobs to technicians via a web interface, technicians receive assignments and complete work via a mobile app, and the system tracks vehicle location in real time using GPS. Customers can view job status and pay invoices online. The platform integrates with QuickBooks to sync invoices and payments, and with Stripe for payment processing. It is designed for contractors in HVAC, plumbing, electrical, and similar trades, but applies to any agency that manages field service delivery.
Service Fusion is a field service management platform, priced at $245/month on the Starter plan, integrating with QuickBooks and Stripe. InnovaAI scores it 3.3/10 for agency adoption, best for Operations Manager, Account Executive, and Finance / Accounting Staff roles handling 5+ client meetings per week.
Agency Audit
Service Fusion consolidates field scheduling, dispatching, invoicing, and GPS fleet tracking into a single platform with mobile technician apps and integrated payment processing. For agencies that manage field teams, operations staff benefit most by eliminating manual dispatch workflows, while account executives gain visibility into job status and customer history for faster client communication. The platform integrates with QuickBooks and Stripe, reducing data re-entry across accounting and payment reconciliation. Adoption makes sense if your agency operates field service teams or manages contractors across multiple job sites.

- Operations Manager handling daily job scheduling and dispatch
- Account Executive handling technician status tracking and communication
- Finance / Accounting Staff handling invoice creation and payment collection
- Your agency is a digital-only shop (design, development, strategy) with no field service delivery or technician workforce. Service Fusion's core features are irrelevant without field operations to manage.
- Your team uses a different accounting system that does not integrate with QuickBooks, and you cannot migrate. The QuickBooks integration is the primary bridge to your financial records, and custom API integrations require the Pro plan.
- You manage fewer than two concurrent field jobs per week. The platform's ROI depends on daily dispatch volume and technician coordination; lighter workloads do not justify the seat cost.

Platform Features
Core capabilities of Service Fusion
Schedule and dispatch jobs
Operations managers assign jobs to technicians, set arrival windows, and track job status in real time. Eliminates manual phone-based scheduling and reduces dispatcher time by consolidating all active jobs into a single queue.
GPS fleet tracking and driver monitoring
Tracks vehicle location and technician movement in real time via the mobile app. Account executives and operations staff see which technician is closest to the next job, reducing travel time and improving on-time arrival rates.
Mobile technician app
Technicians receive job details, navigate to sites, upload photos, and mark jobs complete from their phone. Removes the need for office staff to relay job information via text or call, compressing the communication loop.
Estimate and job conversion
Sales staff create estimates in Service Fusion and convert them to work orders with a single click. Reduces re-entry of customer and scope data between the sales and operations phases.
Invoicing and online payment processing
Technicians or office staff generate invoices from completed jobs and accept payments via Stripe in the field or office. Accelerates cash collection and eliminates manual invoice creation from job records.
Customer information and service history
All customer contact details, past jobs, and service notes live in one record. Account executives and technicians access full history without searching email or asking colleagues, speeding up follow-up calls and repeat service planning.

4Your operations manager spends 6+ hours per week manually scheduling jobs, assigning technicians, and tracking vehicle locations via phone calls or spreadsheets. Service Fusion's scheduling and GPS fleet tracking consolidates this into a single dispatch interface.
Your account executives lose 3+ hours per week answering technician status questions because job information lives in email or text threads. The mobile app and customer web portal give clients real-time visibility, reducing status-check calls.
Your finance team reconciles invoices and payments across multiple systems each week. Service Fusion's integrated invoicing and Stripe payment processing eliminates manual entry between job completion and accounting.
Your technicians currently photograph job sites using personal phones and email images to the office. The Plus plan's job photo uploads feature centralizes documentation and reduces follow-up requests for missing site photos.

Your technicians refuse to adopt mobile apps or your field teams work in areas with unreliable cellular coverage. The mobile app is central to job assignment and real-time tracking; adoption friction here undermines the entire system.
Bottom Line
Service Fusion consolidates field scheduling, dispatching, invoicing, and GPS fleet tracking into a single platform with mobile technician apps and integrated payment processing. Reality Check
Service Fusion is built for field service contractors (HVAC, plumbing, electrical), not general digital agencies. If your team is primarily office-based and does not manage field technicians or mobile workers, the platform's core value proposition does not apply. Setup requires technician adoption of the mobile app and dispatcher training on the scheduling interface.

Core concepts
The mental model you need to price and scope the work.
- Client Visibility BoundaryConcept
Client Visibility Boundary treats a project management platform as two products sharing one database: the internal delivery layer where capacity, budgets, and dependencies live, and the external surface a client actually opens. Agencies routinely buy for the internal layer and then expose it wholesale, which turns every internal field into a client-facing commitment. The boundary should be drawn per retainer, not per vendor. A platform with strong permissions lets a delivery lead track billable burn while the client sees only milestone status; a thin permission model forces either over-sharing or duplicate status reporting. The cost shows up in delivery hours, not licence fees. Forrester's September 2026 research found 83% of B2C marketing decision makers already work with AI agents, so clients now arrive expecting live status rather than weekly decks, which raises the value of a clean external surface and the risk of exposing raw internal boards.
- Client Visibility BoundaryConcept
Client Visibility Boundary is the discipline of splitting project management into two layers: an internal delivery surface where margin, capacity, and messy drafts live, and a client-facing surface that shows only approved milestones, status, and deliverables. Agencies that collapse the two layers expose internal rate cards, rework threads, and resource conflicts to clients, then spend retainer hours managing the fallout. The boundary matters because permissions and reporting are the two criteria the category description flags as decision drivers, and they are the ones most often deferred until after migration. A concrete case: monday.com and ClickUp both support granular guest permissions and client-specific dashboards, yet the same workspaces also expose time tracking and budget fields by default. Productive and Teamwork go further by tying budgets and profitability to the internal layer only. Set the boundary before you migrate, not after the first client asks why a task was reassigned three times.
- Adoption Debt CompoundingConcept
Adoption Debt Compounding treats every licensed project management seat that never logs in as a compounding liability, not a sunk cost. The platform fee is the visible expense; the hidden expense is the coordination tax: status meetings that exist only because the tool is not trusted, duplicate task entry in spreadsheets, and account managers rebuilding timelines by hand. That tax grows with headcount and client count, so a 40-person agency carrying 30% dormant seats pays it on every retainer. The framework asks one question before renewal: what percentage of assigned seats touched a task in the last 14 days? Forrester's finding that 83% of B2C marketing decision makers already work with AI agents raises the stakes, because agent-driven status reporting only functions when the underlying task data is current. A platform with strong AI features and weak seat adoption produces confident-sounding summaries of stale work, which is worse for client trust than no automation at all.
Decision and risk
How to judge the fit, and the ways it goes wrong.
- When Client Visibility Drives the Retainer, Separate Internal Delivery From Shared WorkspacesEvaluation Rule
Keep internal delivery and client-facing visibility in separate workspaces joined by a synced status layer, and decide the split before you migrate anything.
- Project Management Rule: Match Workflow Fit Before Seat CountEvaluation Rule
Choose the platform by workflow fit, permissions, reporting, and integration needs, then price the migration before committing, rather than assuming a seat count or AI tier settles the decision.

What agencies say about Service Fusion
“BUYER BEWARE”
BUYER BEWARE. UNLESS YOU ENJOY GETTING NOWHERE WITH "CUSTOMER SERVICE" FOR MONTHS ON END. We have been using the software "PRO" since 2019 and it was pretty solid for a while. Now however, IT IS A COMPLETE NIGHTMARE. Practically zero customer service response, ZERO follow through, ZERO proffessionalism and no consideration for years of business. BTW, GPS doesn't work. I think they are going out of business. What a joke. Waiting for my pre paid subscription to expire so we can move to another platform.
Read on Trustpilot“I recently dealt with someone claiming…”
I recently dealt with someone claiming to work with or on behalf of Service Fusion regarding SEO placements and marketing. They have not paid their invoice in the agreed timeframe. I was also provided with an address for the invoice that is linked to previously unpaid invoices and non-payment behaviour within the SEO and publishing space. The approach was made through a Gmail address claiming to represent Service Fusion. Based on my experience, I’d recommend anyone approached for SEO work, marketing placements or guest posts claiming to represent Service Fusion to proceed with caution.
Read on Trustpilot“Dysfunctional and Unreasonable”
My company used Service Fusion for about 2 years and most features worked but some key features like being able to read messages sent by other team members in Service Call.ai just didn't work. We had no idea whether someone had already answered that customer and it made us look like fools with our clients. After the third price hike in as many years, despite no new features, I requested to switch from an annual plan to a monthly plan. I was told that in their terms and conditions it requires that I notify them 15 days in advance for any billing changes. Then they refused to make the switch and started to deactivate my team's accounts, meanwhile our team is trying to get ahold of someone there. Finally a billing dept. manager answers us saying that our account will be deactivated until we pay for a year in advance and then we can make the switch to monthly NEXT YEAR. This company will take your business hostage for a variety of reasons. The mere fact that there is not a portal for you to view your own Service Fusion plan and billing settings within a CRM PLATFORM is ASTOUNDING. (October 2025) After all they produce software for managing relationships and billing clients but they can't allow their own clients to access or to know what they are even being billed for. Also worthy to mention: -They give 2 weeks notice for price increases (August 2025) -The customer service queue can sometimes be hours long. I was in position #5 on chat support for 45 minutes during regular business hours -They will not call you to resolve a billing issue, they will simply start turning off your user's accounts despite unanswered emails regarding the issue. Overall do yourself a favor and stay away from this software, and if you're like me, get YOUR data out of their platform while you still can.

Answers about pricing, setup, implementation, and more
Service Fusion offers 3 pricing tiers, starting at $245/mo (Starter) up to $627/mo (Pro).
Service Fusion offers three plans, billed monthly or annually. The Starter plan costs $245 per month or $208 per month if paid annually, and includes unlimited users, customer management, estimates, scheduling, dispatching, QuickBooks integration, and invoicing. The Plus plan costs $382 per month or $325 per month annually, adding job photo uploads, inventory management, job costing, and integrated voice and text. The Pro plan costs $627 per month or $533 per month annually, adding open API integration, custom documents, eSign, a customer web portal, and progress billing with recurring invoices. All plans include unlimited users, so seat cost is per-organization, not per-person.
Operations managers and dispatchers save the most time by consolidating manual job assignment and vehicle tracking into a single interface. Account executives gain faster access to customer history and job status, reducing time spent answering technician questions or searching email for past work. Finance staff benefit from QuickBooks integration, which eliminates manual invoice entry and payment reconciliation. Technicians themselves save time by receiving job details and navigation on their phone instead of waiting for office calls.
For a team managing 10 or more concurrent field jobs per week, operations staff typically save 4 to 6 hours per week on scheduling, dispatching, and status tracking. Account executives save 2 to 3 hours per week by accessing customer history and job status directly instead of asking technicians or searching records. Finance staff save 1 to 2 hours per week on invoice entry and payment reconciliation if using QuickBooks. Total team savings depend on current workflow friction and job volume.
Yes. Technicians receive job assignments, navigate to sites, and mark jobs complete via the mobile app. If your field team refuses to use mobile apps or works in areas with poor cellular coverage, adoption will face significant friction. The app is central to real-time tracking and communication, so office-only workflows are not supported.
Service Fusion integrates with QuickBooks for automatic invoice and payment syncing, and with Stripe for payment processing. The Pro plan includes an open API for custom integrations with other business systems. If your agency uses a different accounting platform or payment processor, you will need to evaluate whether custom API integration is feasible or whether manual data transfer is acceptable.
Initial setup typically takes 1 to 2 weeks for a small team. This includes configuring customer records, setting up job templates, training dispatchers on the scheduling interface, and onboarding technicians to the mobile app. The larger friction is technician adoption of the mobile app and habit change around job assignment workflows. Most teams see full adoption within 3 to 4 weeks if leadership enforces consistent use.
Service Fusion does not explicitly state a data export or retention policy in the provided documentation. Before adopting, confirm with their sales team whether you can export customer records, job history, and invoices in a standard format (CSV or PDF) upon cancellation. This is critical for business continuity if you need to migrate to another platform.
